Lawful basis: Legitimate interests (Article 6(1)(f) UK GDPR)  it is in our and your legitimate interest to be able to communicate with people who contact us. Where we have a contractual relationship with you, the basis may also be performance of a contract (Article 6(1)(b)).

Retention: We retain contact records for as long as reasonably necessary to respond to and follow up on your enquiry, and in any event for no longer than three years from last contact unless a longer period is required by law or contract.

4.2. Applications and CVs

If you apply for a position at LPE, we collect the personal data contained in your application, which may include your name, address, email address, telephone number, employment history, and qualifications.‍

Purpose: To assess your suitability for a role at LPE.

Lawful basis: Legitimate interests (Article 6(1)(f) UK GDPR) where processing is necessary to consider your application; performance of a contract or pre-contractual steps (Article 6(1)(b)) where an offer of employment or engagement is made.

Retention: Applications for advertised positions are retained until the position is filled. Speculative applications are retained for up to 12 months from receipt, or until you withdraw consent to retention, whichever is earlier.

4.3. Newsletter and marketing communications

If you subscribe to our newsletter or provide your contact details in connection with a business relationship with LPE, we may contact you with updates, news, and information about our services.

Purpose: To send you relevant updates and marketing communications.

Lawful basis: Where you have subscribed via our website or otherwise given explicit consent, the basis is consent (Article 6(1)(a) UK GDPR). Where you are an existing or prospective business contact with whom LPE has a relevant professional relationship, the basis is legitimate interests (Article 6(1)(f) UK GDPR), balanced against your right not to receive unsolicited communications. You may opt out at any time.

Retention: We retain marketing contact data for as long as you remain an active subscriber or contact. If you unsubscribe or opt out, we will suppress your details from future mailings. We retain a suppression record to ensure we do not contact you again.

Service providers (data processors): We use third-party platforms to help us manage our business. These providers process personal data on our behalf and are subject to contractual obligations under Article 28 UK GDPR. Our current data processors include:

  • Brevo (formerly Sendinblue) - email marketing and newsletter distribution platform. Data may be processed on servers within the EEA or in countries with an adequate level of protection recognised under UK law.
  • monday.com - CRM and project management platform used to manage contact records, leads, and business development activity. Data may be processed on servers within the EEA or in countries with an adequate transfer mechanism in place.
  • Google Workspace - email, calendar, and document management. Processed subject to Google’s data processing terms.
  • Website hosting and analytics providers - details available on request.

Legal obligations: We may disclose personal data where required to do so by law, court order, or the request of a competent authority. We will endeavour to disclose only the minimum personal data necessary to fulfil the obligation.

Business transfers: In the event of a sale, merger, or restructuring of LPE, personal data held by us may be transferred to a successor entity, subject to equivalent data protection obligations.

6. International transfers

Some of our data processors operate outside the United Kingdom. Where personal data is transferred to a country not recognised by the UK as providing an adequate level of protection, we ensure that appropriate safeguards are in place, such as the UK International Data Transfer Agreement (IDTA) or the UK Addendum to EU Standard Contractual Clauses, or that the transfer falls within a recognised exception under UK data protection law.
